Conditions for Use

  1. The applicant will be responsible for the conduct and supervision of all persons admitted to the meeting room or computer lab. The applicant will ensure that all regulations contained in this policy are strictly adhered to. Groups or individuals booking the Meeting room are responsible for any charges resulting from furniture, building or equipment damage or loss arising from misuse of property.
  2. The Library Board is not responsible for equipment or personal articles belonging to any group or individual using the meeting Room or Computer Lab or attending a program or meeting.
  3. There is no smoking permitted in the library, including the lobby, all washrooms, meeting room, computer lab and kitchen facilities. All exits must be kept free of barriers.
  4. Groups or individuals wishing to serve alcoholic beverages must make application to and obtain a permit from the Ontario Liquor Control Board and notify the Library at time of application. The permit must be displayed on the door of the room. Beverages will be limited to beer and wine only and must be consumed within the meeting room itself. No alcoholic beverages can be sold on Library premises.
  5. Applicants are responsible for setting up the room for the intended function and must return the room, including the kitchen and washroom facilities, in the same condition in which they were found. This means chairs and tables must be stacked and stored. Refuse must be removed. Surfaces and floors must be clean and free of debris. Nothing is to be affixed to walls in such a way as to damage walls or remove paint. Use of the facilities is restricted to the meeting rooms and adjoining kitchen. Hallways and entrance must be kept clear at all times. Fire and building regulations apply. Failure to return the facilities to the state in which they were found will be cause for additional charges to clean and restore the premises.
  6. No applicant will be permitted to store items between bookings without permission of the Chief Executive Officer or delegate.
  7. The applicant is responsible for all publicity and must ensure the disclaimer regarding the Library is included in all publicity.
  8. Library personnel must be permitted access to the Meeting room or Computer Lab at any time access is required.
  9. The applicant must agree to indemnify and save harmless the Library Board in regard to all claims, costs and damages in any way arising out of the application and/or use of the facilities by the applicant and anyone else in attendance there including, without limitation, damage or destruction of property, personal injury, infringement of royalty rights, defamation and public disturbance.
  10. Failure to comply with any of these conditions of use and regulations may result in refusal of subsequent rental applications, at the discretion of the Chief Executive Officer and the Library Board.

EQUIPMENT AVAILABLE FOR RENT – ON PREMISES

The library kitchen facility is included in the room rental; however, use of this facility must be indicated at time of booking.

Meeting Room

Included in the room rental rate are:

  • use of whiteboard and dry-erase markers
  • flip chart stand (paper not supplied
  • Chairs, tables
  • Internet connection
  • lectern
  • overhead projector
Equipment to rent with Meeting Room
  • Digital projector $20.00 per 3 hour block
  • TV/DVD player/videocassette player $20.00 per 3 hour block
  • Overhead Projector $ 5.00 per 3 hour block

EQUIPMENT AVAILABLE FOR RENT - OFF PREMISES

The library rents out the following equipment which can be used off premises. A booking Form must be completed and signed by the applicant and payment made when picked up:

  • Slide Projector and Screen $ 5.00(Non-profit) $10.00(For Profit)
  • Screen separately $ 3.00(Non-profit) $ 6.00(For Profit)
  • Overhead Projector $ 5.00(Non-profit) $10.00(For Profit)
